Event Inquiry Process

We understand that planning an event is a big decision, and we want to ensure that every step of our process is clear, seamless, and stress-free. Our structured approach ensures that your vision is brought to life with precision and creativity. Here’s how our design process works:

Step 1: Initial Consultation

Once you express interest in working with Beyond Bloems, we schedule a consultation call to discuss your vision, style, and event details. This conversation allows us to ensure that our partnership aligns and that we can bring your dream event to life.

Step 2: Securing Your Date

If we are a great fit, we will send a $250 security deposit to officially block your date on our calendar. As we only take on one production per day, our calendar operates on a first-come, first-served basis. Event production is highly labor-intensive, so securing your date with a deposit is essential.

For clients hosting multiple events, a separate deposit is required for each event. The $250 deposit will be applied to your final balance. The only scenario in which the deposit is non-refundable is if you decide not to move forward after we have created a full design proposal.

Step 3: Design Proposal & Mock-ups

Once the deposits are received, our team will begin working on detailed mock-ups of your event. Within approximately one week, you will receive a full design proposal on Canva, showcasing the creative vision for your event.

After receiving the design proposal, a 25% partial payment is due immediately to move forward. This payment unlocks three complimentary revisions, allowing you to make adjustments to centerpiece styles, color palettes, and other design elements. Revisions can be made up until the final payment deadline.

Step 4: Final Payments & Execution

The remaining balance for your event is due 30 days prior to your event date. This final payment secures all materials, production, and labor required to execute your vision flawlessly.

Alternative Option: Pricing Invoice Without Mock-ups

For clients who prefer not to commit to the $250 security deposit, we offer a preliminary pricing invoice based on your vision board. This invoice provides an estimate of how much your event will cost but does not include detailed design mock-ups. Instead, we provide reference photos from your vision board, outlining specific costs for various design elements.

We recommend booking at least 6-12 months in advance, especially for peak seasons. This allows us to ensure that your event design is customized to perfection and gives us ample time to plan, source the best florals, and coordinate with vendors to create your dream celebration.

 

What if we have a last-minute event or inquiry?

At Beyond Bloems, we understand that sometimes plans come together quickly. We’re happy to accommodate last-minute requests depending on availability. If you have an event on a tight timeline, reach out, and we’ll do our best to create an exceptional design and floral arrangements that exceed your expectations, even with limited notice.​

 

Can Beyond Bloems help with rentals like tables, chairs, and decor?

We have a growing inventory, and if there's something we don’t have on hand at the moment, we will source and secure it for our clients to make the process hassle-free. Our goal is to provide you with a complete event design package, so your celebration feels cohesive and perfectly executed.
